How do I sort the data in my columns?

It is possible to sort data in your table either alphabetically (A-Z/Z-A) or numerically (ascending/descending).

  1. Click within the table.
  2. Click to display the ‘Table Tools, Layout’ ribbon.
  3. Sort data button in ribbonClick the ‘Sort’ button.
    The ‘Sort’ dialogue box will be displayed. From this you have the option of sorting your data by up to 3 columns.
  4. Select your table has header rowsIf the table has column headers click the ‘Header Row’ option to exclude the row(s) from the sort.  These rows will be used as column names in the ‘Sort by’ section of the dialogue box, otherwise it will display ‘column 1’, ‘column 2’ etc.
  5. Table data sort dialogue boxUse the drop down menu under ‘Sort by’ to choose the first column to be sorted.
  6. Check that Word has correctly identified the type of data this column contains, either text, number or date. Change this value if necessary.
  7. Choose ‘Ascending’ or ‘Descending’ depending on how the data has to be arranged.
  8. Use the ‘Then by’ sections of this box to identify any additional columns to be included in the sort and follow steps 6 and 7 for each of these columns.
  9. Click ‘OK’.
