What is ‘Screen Sharing’?

This is the process of allowing others to view the contents of either a window or your full desktop during a ‘Teams’ meeting. You can also allow them to ‘control’ your cursor. You cannot take control of someone’s screen without them granting you access.

How do I start sharing my screen?

  1. Share button menu in Microsoft TeamsDuring a meeting click the ‘Share’ button.
  2. Are you likely to have sound in the window you are sharing? Are you sharing a video or an audio clip? If so, click the ‘Include system audio’ box.
  3. Choose what you want to share:
    • DESKTOP: Everything on your screen will be shared with the participants of the meeting. Be cautious when using this method. Depending on who is involved in the meeting, it may be best to close all other applications when ‘presenting’ in this manner.
    • WINDOW: Only the selected window will be shared. Participants will not see anything happening outside this window.

How do I stop sharing my screen?

  1. Take your cursor to the top of the screen to display the ‘screen sharing’ toolbar.
  2. Stop presenting button in toolbarClick the ‘Stop Presenting’ button.

How do I zoom in/out on the shared screen?

If you are viewing someone else’s screen and need to zoom in to read a particular area of the screen better.

  • Press <Control> + <+> to zoom in.
  • Press <Control> + <-> to zoom out.
  • Press <Control> and use the wheel in the middle of the mouse to zoom in and out.

How do I give control of my screen?

You can allow others in the meeting to take control of your screen.

  1. Give control over to another user when screen sharing in TeamsPosition your cursor at the top of the screen to display the ‘Screen sharing’ toolbar.
  2. Click the ‘Give control’ button.
  3. Choose the user that you want to have control of your screen from the list.

How do I take back control?

  1. Position your cursor at the top of the screen to show the ‘Screen sharing’ toolbar.

How do I share a presentation?

There are various ways to share your presentation and the best way may vary depending on the contents of the file.

If your presentation contains links to external content (for example a YouTube video) you may need to share your full desktop to ensure the video clip is included when required.

How do I run a presentation in its own window?

When you run a PowerPoint presentation full screen you are unable to see any other windows as the presentation fills the entire screen.

It is possible to run the presentation in its own window allowing you access to other applications while sharing.

IN POWERPOINT:

  1. Open the presentation file.
  2. Slide Show ribbon tab in PowerpointClick to display the ‘Slide Show’ ribbon.
  3. Setup Slide Show button in PowerpointClick ‘Setup Slide Show’.
  4. Set Up Show Window in PowerpointClick ‘Browsed by an individual (window)’.
  5. Click ‘OK’.

Run the presentation as normal resizing the window to a suitable size (it will still share full size).

IN TEAMS:

  1. Share this window as you would normally.
