How do I open another user’s mailbox?
You can only open a mailbox you have permission to view. The more mailboxes you have open:
- the longer it will take to start Outlook each time (it synchronises all changes in all mailboxes each time Outlook is started).
- the larger your Outlook file becomes, and in some cases this can cause a detrimental effect on the speed of Outlook.
Only the last 3 months email will be shown using this method. For older emails open the mailbox in Outlook Web App.

When you have been given permission to a mailbox it should automatically display the next time you start Outlook. If it doesn’t you may need to manually add it.
- Click File, Info.
- Click ‘Account Settings’.
- Click ‘Account Settings’.
- Click ‘Change’.
- Click ‘More Settings’.
- Click the ‘Advanced’ tab.
- Click ‘Add’.
- Type the name of the person whose calendar you want to open.
- Click ‘OK’.
- Click ‘Next’.
- Click ‘Done’.
- Click ‘Close’.
The mailbox(es) will be listed, in alphabetical order, under your folder list. If you have access to the mailbox click the arrow to expand and view the contents inside. If you do not have access an error will be displayed.
Why can't I reply to a message?
When you are given rights to a mailbox, you are only provided with right to VIEW the mailbox. You need to be given 'send as' rights to allow you to view and reply to messages.
How do I remove a mailbox?
- Click File, Info.
- Click ‘Account Settings’.
- Click ‘Account Settings’.
- Click ‘Change’.
- Click ‘More Settings’.
- Click the ‘Advanced’ tab.
- Select the name of the mailbox to be removed.
- Click ‘Remove’.
- Click ‘Yes’ to confirm the removal.
- Click ‘OK’.
- Click ‘Next’.
- Click ‘Done’.
- Click ‘Close’.
