How do I adjust my default print settings?

The default settings for printing should be:

  • Black and white - its 5x cheaper to print in B&W rather than colour.
  • Double sided - saves paper, cutting costs.
  • Hold print - If your prints are not at the copier, did the document fail to print or has someone else taken them. If its the later, this could lead to a data breach. This would have to be reported to the ICO. This in turn could result in Key and Community Lifestyles facing a monetary fine.
  1. Searching for Printers and Scanner in the Windows 11 start menuClick ‘Start’.
  2. Type ‘Printers & Scanners’ to search.
  3. Click ‘Printer & Scanners App’ when it shows in the search results.
  4. Select printer from listLocate and click on the printer to show options for that device.
  5. Printing preferences optionClick ‘Printing preferences’.

This dialogue window below shows the printer properties for a Ricoh 5504, these vary slightly depending on model of copier. Yours may look slightly different.

  1. Printer Preferences windowUse the drop down menus to set printing to “Black and White” and printing to 2 sided (long edge).
  2. Click the ‘Job Type’ drop down menu (if available) and select ‘Hold Print’. If the menu isn't available we can select this option in step 9.
  3. Click the ‘Modify’ button.
  4. Change job type dialogue boxChoose ‘Hold Print’ in the job type drop down menu (if not selected in step 10).
  5. In the ‘User ID’ box type your name. (Limited to 8 characters)
  6. Click ‘OK’.
  7. Close the settings window.
