How do I create a distribution group?

Distribution lists example in Global Address BookA distribution list is a group of email addresses. Distribution lists already exist for certain groups and can be found in the Global Address List - they are shown in bold type.

You can create your own distribution list should you frequently email the same large group of people.

When sending to a large number of people, use the BCC field. This prevents accidental use of the ‘Reply to All’ option.

  1. New contact group buttonWith your contacts on display, Click the ‘New Contact Group’ button.
  2. Add members buttonClick the ‘Add Members’ drop down menu.
  3. Choose whether to use:
    1. Address Book’ - Your contacts,
    2. ‘Outlook Contacts’ - the Global Address List,
    3. ‘New Email Contact’ - add a new address not already stored into either the distribution list or your contacts.
  4. Locate and double click each of the contacts you wish to add to the list or type the address if entering manually.
  5. Click ‘OK’ when everyone has been added.
  6. Enter a name for your distribution list in the ‘Name’ section.
  7. Click ‘Save and Close’.
